Instruction manuals
Clear instructions make life easier for everyone. And, they save money.
Instruction manuals need to be clear and to the point. They are no place for rambling descriptions or unnecessary
content.
Your draft manual
Usually I start with the customer's draft. If it's typical, it has been assembled by several people over a long period.
It's not well organised, its purpose is unclear, and it contains irrelevant information and repetition.
Does this sound like yours? If so, is it up to date? Does anyone actually read it? Or does it just sit on a shelf
gathering dust?
Often a draft manual needs a substantial re-write. Sometimes, I reduce the word count by as much as half. Brevity
brings clarity. Information is easier to find. See example.
Charts and diagrams
Charts and diagrams are invaluable aids to conveying meaning. Swim-lane diagrams, which illustrate procedures and responsibilities, are useful in process descriptions. I draw and insert these as appropriate.
Format
A document's format often influences its usefulness. Staff may not bother with manuals that are large and cumbersome
or don't lie open easily. I format manuals as required, often into handy A5 booklets, and advise on the best means
of reproduction.
Forms
Forms can be tricky. A well-designed form is useful tool for gathering information. A poor design can
frustrate the user and deliver the wrong information.
Forms must have a
• clear purpose
• logical sequence
• attractive format
The instructions must be easy to follow and must prompt the user into giving the desired answers.
And, of course, forms must be easy to process.
